Step 5: Review Submissions and Records

In step 4 you sent two Farm Visit submissions. The form has Automatically approve submissions off, so they wait for review. In this step you approve one, reject one, and see the approved one as a record in the Farm Visit table.

Open the Submissions page

In the main navigation, click Submissions. The page lists every submission in the project, newest first, with the form, who sent it, when, and its status.

Status Meaning
Pending Waiting for review.
Approved Reviewed and accepted. It is now a record in the table.
Rejected Reviewed and refused. No record was made.
Blocked Pending, and cannot be approved yet, because it links to another submission that is not approved. Approve that one first.

Both Farm Visit submissions show Pending.

Approve a submission

  1. On the first submission's row, click View. You see every answer, including the photo and the location.
  2. Check the answers. If something is wrong, click Edit and correct it before you approve.
  3. Click Approve.

The status changes to Approved. 3D creates a record in the Farm Visit table with these answers.

Reject a submission

  1. On the second submission's row, click Reject.
  2. Confirm in the dialogue.

The status changes to Rejected. No record is created. The submission stays in the list, so you can see what was refused and why.

Tip

Submissions that arrive together from one device are grouped as a batch. Above the list, Approve set and Reject set decide a whole batch at once. See Submissions.

See the record

  1. In the main navigation, click Tables.
  2. Click the Farm Visit table.

The table shows one row, the approved visit. Each column is one question from the form. The farmer column shows the farmer's name, because it is a Relation to the Farmers table.

Click the row to open the record. From here you can edit it, see its history, or delete it. See Records.

Note

A form with Automatically approve submissions on skips this review. Each submission becomes a record as soon as it arrives. Use that for forms where nobody needs to check the answers, such as a simple survey.

What you have

  • One approved submission, now a record in the Farm Visit table.
  • One rejected submission, kept in the Submissions list for reference.
